Reporting a tenant moving in or out

Do you let out a unit in a building we manage ? Let us know when your tenant moves in or out. We update the building's records, and we then hold the date that will be used to apportion the charges between the outgoing and the incoming tenant.

One report, three effects

The date matters as much as the names

An unreported change of tenant costs you later : letters sent to the wrong person, the wrong name on the letterbox, charges apportioned over the wrong period. Reporting it once avoids all three.

As soon as you send it, your report is filed with the building's records and passed to your condominium's property manager. You may keep this page as a record of your report.

The building's records updated

We update who occupies the unit : the point of contact for the common areas, and the name on the doorbell and the letterbox where the condominium is responsible for them.

Charges apportioned over the right period

The date you give — and the meter readings, if you sent them — are used to apportion the charges between the outgoing and the incoming tenant in the annual statement of charges.

Four answers before you report

The situations landlords run into most often.

Who has to make this report : the owner or the tenant ?▾

The owner. It is the owner who is a member of the condominium and who remains our point of contact : notices of general meetings, statements of charges and calls for funds continue to be addressed to them, whoever occupies the property.

If you have entrusted the letting management to a third party, say so in the notes : we will then know whom to approach on day-to-day matters.

Why read the meters ?▾

Because water and heating are not used at the steady rhythm of the calendar. A reading taken on the day of the move makes it possible to charge each tenant for what they actually used, instead of splitting the bill pro rata to the number of days.

The reading remains optional : without it, the charges are apportioned pro rata to the length of occupation, which is less exact but perfectly workable.

What about charges already called in for the current year ?▾

They remain payable by the owner : it is the owner the condominium calls on, not the occupant. Passing the recoverable charges on to your tenant is then a matter for your tenancy agreement, not for the condominium.

The annual statement of charges we send you sets out the detail item by item — enough to draw up your own reconciliation with the tenant.

Can my tenant write to you directly ?▾

For anything to do with the common areas — lighting, cleanliness, the lift, the entryphone, the grounds — yes, and it is actually helpful : we need to hear of it in order to act. They can use the Report an issue page.

For a problem inside the property, however, their point of contact is you : the decision rests with the landlord.
